Privacy Policy

Effective Date: 11-10-2026

Presoft Solutions (“we,” “us,” or “our”) provides an online platform that helps schools manage student results, exams (CBT), fees, and staff attendance. We are committed to protecting the privacy and personal information of everyone who uses it, including school directors, teachers, parents and students. This Privacy Policy explains what we collect, why we collect it, who can see it, and the choices you have.

We handle personal data in line with applicable data protection law, including the Nigeria Data Protection Act 2023 (“NDPA”).

Who Is Responsible for Your Data

  • Schools: Each school that uses Presoft Solutions decides what student, parent and staff information is entered into the platform and why. For that information, the school is the data controller and we act as its service provider (data processor).
  • Presoft Solutions: We are the controller for information about our own website visitors, account holders, billing and subscriptions, advertising, and the security of the platform.

If your question is about your child’s results, your attendance record, or a school’s own decisions (for example, whether a selfie is required to clock in), please contact your school first.

Information We Collect

Depending on how you use the platform, we collect the following types of information:

Account and Profile Information

  • Name, gender, email address, phone number, and location or address.
  • Login credentials (username and password) and, for teachers who use shared-device clock-in, a clock-in PIN.
  • Profile photo and a short personal description or quote, if you add them.

School Information

  • School name, address, state and country, telephone number, motto, logo, banner and website content.
  • Parent portal access codes and school settings such as sessions, terms, classes and result formats.

Academic Information

  • Student names, classes, subjects, scores, grades and results provided by schools.
  • CBT (computer-based test) setup, questions and student responses and scores, where a school uses this feature.

Teacher Attendance Information

  • Clock-in and clock-out times, the method used (phone/GPS, entrance QR code, or shared kiosk device), and any corrections requested or approved.
  • Precise location (GPS) coordinates, distance from the campus and GPS accuracy when you clock in using your phone. See “Location, Selfie and Attendance” below.
  • Selfie photos, only where your school has chosen to require them at clock-in.
  • Notes or flags added when an entry looks inconsistent (for example, a clock-in recorded outside the school perimeter), and notes added by school administrators.

Payment and Fee Information

  • School bank account details (bank name, account name and number) that a school chooses to display to parents.
  • Payment references, amounts and status for fees paid online, which are recorded against the student’s fee ledger.
  • Payment gateway keys that a school or Presoft Solutions enters to enable online payments.
  • We do not collect or store your debit or credit card details. Card and bank payments are handled by the payment providers listed below.

Technical and Usage Information

  • Browser type, device information and operating system.
  • IP address and usage data such as pages visited and time spent on the platform. Your IP address is personal data and we treat it as such.
  • Device identifiers and cookies, including a random identifier used to recognise a school’s approved shared clock-in device (see “Cookies, Device Identifiers and Similar Technologies”).

How We Use Your Information

We use your information to:

  • Create and manage accounts, and let schools process and display student academic results.
  • Run CBT exams, fee records and the parent portal.
  • Record staff attendance, calculate punctuality and hours worked, and let administrators review and correct entries.
  • Verify that a clock-in is genuine and detect misuse, such as clocking in for someone else.
  • Process subscription payments and verify online fee payments.
  • Communicate with users about account access, security and system updates.
  • Improve the platform, fix problems, and keep it secure.
  • Show advertising that helps fund the platform (see below).
  • Meet legal obligations and enforce our platform policies.

Location, Selfie and Attendance

These features are only used for school staff attendance and are controlled by each school’s administrators.

  • Location: Your device’s location is requested only when you choose to clock in using GPS, and your browser or phone asks for your permission first. While the clock-in page is open and your working day is still active, the page may check your location periodically so the system can record automatically when you leave or return to the school perimeter. Closing the page stops these checks. Schools can instead use the entrance QR code or a shared kiosk device, which do not use your phone’s location.
  • Campus coordinates: Administrators can save the GPS position of each campus. This is the school’s location, not a personal location.
  • Selfies: If your school requires a selfie, your camera is used only at the moment you clock in or out. The photo is stored and visible to authorised administrators of your school, to confirm who clocked in. We do not use these photos for automated facial recognition.
  • Who sees it: Attendance records, locations and selfies are visible to you and to authorised administrators of your school (and to our support staff where needed to resolve a problem). They are not shown to parents, students or other teachers.
  • Your choices: You can deny location or camera permission in your browser or phone settings. If a school requires either, you may not be able to use that clock-in method and should speak with your school administrator about an alternative.

Cookies, Device Identifiers and Similar Technologies

We use cookies and similar technologies (such as browser local storage) to:

  • Keep you signed in and remember settings such as the last tab you used.
  • Recognise a school’s approved shared clock-in (kiosk) device. This uses a secure cookie that is not readable by scripts on the page, together with a device identifier, so that only approved devices can be used for shared clock-in.
  • Help detect misuse, for example the same device being used to clock in several different people in a short time.
  • Analyse platform performance and serve advertising.

You can disable cookies in your browser settings, but some features, including sign-in and shared-device clock-in, may not work properly.

Third-Party Advertising (Google AdSense and Google Ad Manager)

We use Google AdSense and Google Ad Manager, third-party advertising services, to display advertisements on parts of our platform. Google, as a third-party vendor, uses cookies and other tracking technologies (like the DoubleClick cookie) to serve ads based on a user's prior visits to our platform and/or other websites on the Internet.

Google’s use of advertising cookies enables it and its partners to serve personalized ads to our users. This advertising helps support the running and maintenance of the Presoft Solutions platform. Where the law requires your consent for advertising cookies, we ask for it before such cookies are used.

You may opt out of personalized advertising by visiting:

We do not use your student results, attendance records, location or selfies for advertising.

Payments

Online fee payments and subscription payments are processed by third-party payment providers such as Paystack, Flutterwave, Korapay and Stripe. When you pay, you are giving your payment details directly to the provider under its own privacy policy. We receive confirmation of the payment (reference, amount and status) so we can record it, but we do not receive or store your full card details. Schools that display bank account details on the parent portal are responsible for the accuracy of those details.

Information Sharing

We do not sell your personal information. We share it only in the following cases:

  • With Schools: Academic, fee and attendance data is available to authorised personnel of the relevant school. Parents with a valid access code can see their own child’s results, fees and the payment details the school chooses to show.
  • With Service Providers: Trusted providers that help us run the platform, such as web hosting and storage, payment processing, email or messaging, and advertising partners, who may only use the information to provide their service to us and are bound by confidentiality and data protection obligations.
  • Legal Requirements: We may disclose information if required by law, court order or a competent authority, or to protect our platform, users or the public from fraud, abuse or harm.
  • Business Changes: If Presoft Solutions is involved in a merger, acquisition or sale of assets, personal information may be transferred as part of that transaction, and we will tell you if your information becomes subject to a different privacy policy.

Where Your Data Is Stored

Your information may be stored and processed on servers located outside Nigeria, for example by our hosting and advertising providers. Where we transfer personal data across borders, we take steps to make sure it remains protected in line with applicable law.

How Long We Keep Your Data

We keep personal information for as long as your account or your school’s subscription is active and as long as needed to provide the service, meet legal and accounting obligations, resolve disputes and enforce our agreements. Selfies and precise GPS coordinates are kept only as long as a school needs them to verify and review attendance, after which they may be deleted. When a school closes its account or asks us to delete data, we will delete or anonymise the information unless the law requires us to keep it. Backups are overwritten on a regular cycle.

Data Security

We use reasonable technical and organisational measures to protect personal information, including encrypted connections (HTTPS), access controls so that users only see data they are authorised to see, restricted access for shared clock-in devices, and storing passwords and clock-in PINs in hashed form rather than readable text. However, no system is completely secure, and we cannot guarantee absolute security. Please keep your password and PIN private and sign out of shared devices.

Your Rights

Under the NDPA and other applicable laws, you have the right to:

  • Access the personal information we hold about you and request corrections.
  • Request deletion of your account or personal data, subject to legal and school record-keeping requirements.
  • Object to or ask us to restrict certain processing, including direct marketing.
  • Request a copy of your data in a commonly used format, where applicable.
  • Withdraw your consent at any time where we rely on consent, without affecting processing already done.
  • Opt out of certain communications, such as newsletters, and manage personalised advertising as described above.
  • Lodge a complaint with the Nigeria Data Protection Commission (NDPC) if you believe your data has been mishandled.

To exercise these rights, contact us at support@presoftsolution.com. For student, parent or staff records, we may refer your request to the school that controls that data. We may need to verify your identity before acting on a request.

Third-Party Links

Our platform may contain links to third-party websites. We are not responsible for the privacy practices or content of these external sites. We encourage users to review the privacy policies of third-party websites.

Children’s Privacy

Presoft Solutions is designed to support schools, and much of the student information on the platform relates to children. That information is entered by schools, not collected directly from children. Each school is responsible for having a lawful basis, including parental or guardian consent where required, for placing student information on the platform. Under the NDPA, a child is a person under 18.

We do not knowingly collect personal information directly from children without the authority of their school or parent or guardian. In compliance with Google's policies for child-directed content, we do not serve personalized advertisements to users whose age is known to be under 18. If you believe we have collected a child’s personal information without proper authority, please contact us immediately so we can delete it.

Updates to This Policy

We may update this Privacy Policy from time to time, for example when we add new features or change how we handle data. Changes take effect when posted on this page, and the effective date above will be updated. If we make a significant change, such as collecting a new type of personal data, we will take reasonable steps to notify you, for example by email or a notice in the platform. Continued use of the platform after an update means you accept the updated policy.
