Join the team in building the future of mental health care through a combination of human expertise and artificial intelligence.

Role Logistics

The Opportunity

We are seeking a detail-oriented, healthcare-fluent Virtual Assistant with excellent communication abilities to support patients during the earliest and most important stages of their care journey.

This position is well suited to someone with exceptional spoken and written English, strong organizational skills, and the ability to remain effective under pressure while handling phone calls, patient messages, scheduling, documentation, and internal coordination. You will help ensure that patients are contacted promptly, properly prepared, correctly routed, and warmly supported before their first appointment.

Excellent communication is essential. You will communicate with patients every day, including individuals who may be confused, anxious, frustrated, delayed, or missing important next steps. The successful candidate must be able to explain information clearly, warmly, and accurately in English while helping patients remain calm and move forward.

Candidates with pharmacy, medical, nursing, behavioral health, or other healthcare licensure or formal clinical training outside the United States are strongly preferred. This is a non-clinical position, and you will not provide medical advice, diagnoses, or treatment. However, clinical fluency is a significant advantage because you will assist patients with logistics, appointment preparation, documentation, and escalation of sensitive matters to the appropriate clinical team.

A significant part of the role may involve supporting patients with ADHD-related intake requirements. You should be comfortable learning established protocols, understanding documentation requirements, coordinating next steps, and helping patients prepare while remaining firmly within a non-clinical scope.

Responsibilities and Deliverables

  • Respond promptly to new patient leads and booked patients through phone, messaging, and internal systems.

  • Communicate with patients clearly, warmly, and professionally in spoken and written English.

  • Provide a welcoming and professional patient experience while explaining what to expect before the first appointment.

  • Explain next steps in a simple and accurate manner, particularly when patients are confused, anxious, or missing required information.

  • Assist with appointment scheduling, rescheduling, intake completion, paperwork follow-up, and onboarding activities.

  • Monitor patients who have missing paperwork, insurance concerns, pharmacy-related questions, documentation requirements, or other barriers before receiving care.

  • Help manage patient access workflows involving self-service signups, referrals, Zocdoc leads, and other inbound sources.

  • Support ADHD-related patient preparation, including logistics, documentation, ROI steps, and appointment expectations.

  • Track and escalate patient concerns, refill or prescription coordination requests, prior authorization matters, and clinical questions to the appropriate team.

  • Accurately document patient interactions to ensure teammates and clinicians have clear and useful context.

  • Follow established scripts and SOPs while identifying opportunities to improve workflows.

  • Help minimize delays in patient outreach by maintaining strong response times and consistent follow-through.

  • Identify recurring patient concerns and provide feedback to operations, product, and clinical teams.

  • Maintain a reliable, high-speed internet connection for uninterrupted phone and messaging work.

  • Consistently strive to provide the best possible experience for patients and families.

You Will Be Successful If You Are

  • Exceptional in both spoken and written English communication.

  • Clear, warm, and confident when communicating with patients by phone.

  • Able to explain next steps simply without sounding robotic, confusing, or dismissive.

  • Skilled at documenting patient interactions clearly so teammates understand exactly what occurred.

  • Calm and professional when dealing with patients who are frustrated, worried, delayed, or unable to move forward.

  • Kind, patient, and empathetic during sensitive healthcare conversations.

  • Highly organized and capable of managing multiple patient conversations without losing important details.

  • Comfortable working in a fast-paced startup environment where processes can change quickly.

  • Comfortable working with tools such as Slack, Dialpad, Healthie, CRMs, EHRs, or similar platforms.

  • Able to work closely with clinical teams while maintaining appropriate non-clinical boundaries.

  • Curious, proactive, and willing to learn the organization's care model, provider workflows, and patient access processes.

Ideal Background and Skills

  • 2+ years of experience in healthcare operations, patient support, pharmacy support, medical administration, telehealth, call center work, or a similar field.

  • Strong English communication skills are required. Candidates who are not comfortable handling high-volume patient calls and written patient messaging will not be a suitable fit.

  • Strong preference for licensed or formally trained healthcare professionals outside the United States, including pharmacists, physicians, nurses, medical technologists, psychologists, or other healthcare professionals.

  • Pharmacy experience is particularly valuable, including familiarity with prescriptions, refills, prior authorizations, controlled-substance workflows, or medication-related patient questions.

  • Familiarity with behavioral health, psychiatry, ADHD care, telehealth, insurance, scheduling, referrals, or clinical documentation is highly preferred.

  • Experience supporting U.S.-based patients or working with U.S. healthcare processes is an advantage.

  • The most important qualifications include patient empathy, excellent communication, healthcare fluency, operational execution, and accurate documentation.

Important Note on Scope

This is a non-clinical operations role. You will not provide medical advice, diagnose patients, make treatment decisions, or practice under a medical or pharmacy license.

Your responsibility is to support patient logistics, documentation, coordination, and escalation so patients can receive timely, high-quality care from the appropriate clinical team.

Compensation and Benefits

  • Hourly Compensation: $5–$15 per hour, depending on experience.

  • Work Hours: 1:00 PM to 9:30 PM Central Time.

  • Work Setup: Fully Remote.

  • Impact: Contribute to work that directly supports patients and families while helping build a faster and more scalable mental health care system.
